Directives Point of Contact (DPC)

RevCom is a web-based, workflow system that manages the development process for directives. It enables managers and employees through out the Department to participate in the review and approval of new or revised documents.

This documentation will help you understand your role in the RevCom System. NOTE: for a more detailed explanation see the guide listed at the bottom under References.

The Approving Official (AO) designates the Directives Point of Contact (DPC) to submit the official position of their organization through the review, edit and consolidation of comments. The DPC will assign reviewers and delegates to documents as appropriate.

Notification:

You will receive notification from RevCom that you have been assigned an activity in RevCom.

The notification will contain the RevCom Activity, such as Review and Comment; the Document number and title; the day that your review is due; and a link to login to Directives RevCom

Login:

Once you have clicked the link to login to RevCom you will be presented with a screen to Choose your role. You will select DPCs/Delegates. The DPC login requires your username, and the password you established.

Creating User Accounts:

DPCs have the ability to create delegate and SME accounts. If there is a person you would like to review the document you would create a SME account. If there is someone that you would like to help you in your task of reviewing comments you can create a Delegate account. Delegates cannot submit the final package for the DPC. If you have someone that you would like to assist you will all of the task, including submitting the comment package, you can initiate assignment of a Alternate DPC. An email will need to be sent to support@doxcelerate.com and include the Alternate DPC's name, email address, and phone number. 

Create Groups:

If a DPC has Delegates or SMEs that are specialized in certain functional areas they can create groups and assign the Delegates and SMEs accordingly.

Assigned Documents:

Once you have logged in the list of documents will be on the screen. All documents that are assigned to you will be in yellow.

Setting Due Dates:

Before assigning your reviewers to a document you will need to first adjust/set the due dates for the Delegates or SMEs to complete their review.

Assigning  and Notify Users:

You can assign Delegates or SMEs to documents that are assigned to you. After the assignment has been made you will need to notify the reviewers using RevCom. The reviewers will submit their comments to you by the date assigned.

Adding Comments:

Clicking on the document activity will open the document and allow you to review and comment. To comment on the document click on Add Comment to open a window to insert your comment. When you have finished making your comment be sure to select the type of comment, either Essential/Major or Suggested, and then Save Comment.

Include/Exclude Submitted Comments:

Once reviewers have completed their reviews. You will need to select comments that you want to go in the final comment package submit by your organization. If you do not choose to include the comments they will be excluded from the comment package.

Submit Comments and Notify:

Once you have included all of the reviewers comments that you chose as well as your own comments you will submit them. In order to notify your reviewers that you have submitted the final comment package you will need to select Notify. 

Concurrence:

Concurrence review is for the redline of the document after the author has edited the document based on the comments that they received. During the concurrence review you have to answer a question as to whether you concur with the changes to the document that the writer made.

Reports:

After submitting your comments you can track the disposition by creating a report in the Custom section of the Report menu or there are reports with pre selected criteria in the Quick section.
